Document management - BNS integrates archival storage

13.11.2008 - New module „OnArchive“ completes the logistic software of BNS – extensive search functions – detailed authorisation concept – archiving conforming to the law – First step towards the consequent adjustment of BNS.

The Software provider BNS has a new solution-offer for the logistic branch by completing it with a document management- and archiving system.The module is called „OnArchive“ and fits perfectly into the product line of the transport management system OnRoad.
 
With OnArchive shippers, hauliers and consigners can easily digitise all documents like way bills, bills of delivery or delivery run sheets, store cost-saving and if required find them quickly with comprehensive search functions.   
 
OnArchive provides quicker and more efficient workflows, relieves from complex manual searching as well as expensive storage capacity for folders and cabinets. The module is also “the first step towards a consequent adjustment of BNS GmbH”, as the new executive Patrick Wallinger underlines.

With OnArchive it is warranted that all business-related documents can be archived conforming to the law and quickly found if required. These requirements are arranged by the „principles of data access and auditing of digital documents” (GDPdU) as well as the “generally accepted principles of computerized accounting systems” (GoBS) and achieved by OnArchive.
 
The solution possesses over an OCR - optical character recognition for the automatic keyword indexing of all scanned documents. In- and outgoing mail as well as computer generated fax-documents will automatically be archived and allocated. Violation of rules like a non continuous invoice number will create a warn signal as well as a chart of all missing documents at the push of a button.
 
Extensive search functions arrange a quicker retrieval of all information and documents. Next to the search of key words, a full text search is available as well as an extended search for contents of attached notes, last imported documents or elements from older versions.
 
The display of search results can be effected in complete order holders. All found documents, like quotations, signed bills of delivery, confirmations and invoices from one order number are combined.
 
A comprehensive authority administration regulates the access of employees and customers to documents and folders. If desired an integrated tracking function shows a complete document flow and all involved users.
 
“OnCustoms” was introduced by BNS in September, which is certified for the electronic exporting policy ATLAS.

The BNS GmbH develops and sells standardised Software solutions for hauliers, forwarding companies and consigners. The company was founded in 1995, occupies 30 employees and is based in Düsseldorf.
 
Mainstay of sales of the company is the transport management system „BNS OnRoad“. The software administrates, controls and optimises all working processes of a business – starting with the sales control, CRM, quotation- and order editing, disposition on screen and accounting to the point of controlling.
